Invoice Extraction Report

Summary

  • Invoices found: 5
  • Status: 2 PASS, 3 FLAG, 0 UNREADABLE
  • Possible duplicates: 1 (invoice #5 appears to repeat invoice #1)
  • Over-$1,000 flags (your rule): 1 (invoice #2)
  • Date range covered: 2024-03-04 to 2024-04-01
  • Excluded by your rules: None. No filter removed any invoice.

Assumptions:

  • I split the batch on the --- separators, which gave 5 invoices.
  • Harbor Office Supply is in Tacoma, WA and bills in USD, so I read its dates as US month/day. Date 03/04/2024 becomes 2024-03-04, and due date 04/03/2024 becomes 2024-04-03. Both dates are ambiguous, so please confirm them.
  • Brightline Cleaning and Northside Print & Sign show "$" but no currency code or address. I assumed USD because they bill the same US customer.
  • A blank Shipping/fees or Discount cell means the invoice doesn't print that line. I treated blanks as 0 for the math.
  • I applied your "over $1,000" rule to USD invoices only. The CAD invoice (567.00) is under 1,000 in its own currency. I did not convert it.
  • I applied your 8.25% local rate only to US invoices. The Canadian invoice uses GST 5%, and I checked it against that printed rate.
  • I didn't infer payment terms from due dates. "Not stated" means the invoice prints no terms.
  • GL categories are suggestions only. Please confirm them against your chart of accounts.

Master table

# Vendor Invoice # Invoice date Due date Currency Subtotal Tax Shipping/fees Discount Total (stated) Total (computed) Payment terms GL category (suggestion) Status Notes
1 Harbor Office Supply INV-10422 2024-03-04 2024-04-03 USD 784.96 64.76 0.00 849.72 849.72 Not stated Office supplies PASS All math checks pass. Tax 8.25% matches. Dates printed 03/04/2024 and 04/03/2024; I read them as US month/day (ambiguous). Remit-to account ****4471. A possible duplicate copy appears as #5.
2 Brightline Cleaning Co. 2024-118 2024-03-15 USD 1380.00 0.00 1380.00 1380.00 Net 15 Janitorial / cleaning services FLAG Over $1,000 (your rule). Math passes. No due date printed. Currency assumed USD ($ symbol only). Tax charged is 0.00.
3 Northside Print & Sign 5571 2024-03-22 USD 291.00 24.01 12.00 337.01 327.01 Not stated Printing / marketing materials FLAG Total mismatch: stated total is 10.00 more than computed. Line items, subtotal and tax (8.25%) all check out. Currency assumed USD.
4 Maple Ridge Software Inc. MR-883 2024-04-01 CAD 540.00 27.00 567.00 567.00 Not stated Software subscriptions / licenses PASS Canadian vendor (Vancouver BC). GST 5% matches. No "Subtotal" line is printed, so 540.00 is the single line amount. Not converted to USD.
5 Harbor Office Supply INV-10422 2024-03-04 USD 784.96 64.76 849.72 849.72 Not stated Office supplies FLAG Possible duplicate of #1: same vendor, invoice number, date and total. Shortened copy with no line items, due date or shipping line. Footer math passes.

Exceptions to review

  • #2 Brightline Cleaning Co., Invoice 2024-118: over $1,000 (your rule).

    • Math passes: 1200.00 + 180.00 = 1380.00. Then 1380.00 + 0.00 tax = 1380.00, which matches the stated total.
    • Check on the PDF:
      • Confirm the 1,380.00 amount and that it is in USD.
      • Find the due date. Terms say Net 15, but no due date is printed.
      • Note that tax is 0.00. At your 8.25% rate, tax on 1380.00 would be 113.85. Whether these services are taxable is a question for your accountant. I'm only flagging the difference.
  • #3 Northside Print & Sign, Invoice 5571: total doesn't add up.

    • Line items: 3 × 65.00 = 195.00 ✓ and 2 × 48.00 = 96.00 ✓. Their sum is 195.00 + 96.00 = 291.00, which matches the subtotal.
    • Tax: 291.00 × 8.25% = 24.0075, which rounds to 24.01 ✓.
    • Footer: computed 291.00 + 24.01 + 12.00 = 327.01. The invoice states 337.01, a difference of 10.00.
    • Check on the PDF:
      • Look for a fee, line or charge that didn't come through in the paste.
      • Check whether shipping is actually 22.00.
      • If it's a vendor error, ask Northside for a corrected invoice before paying.
  • #5 Harbor Office Supply, Invoice INV-10422: possible duplicate of #1.

    • Both show the same vendor, invoice number (INV-10422), date (2024-03-04) and total (849.72).
    • #5's footer math also passes: 784.96 + 64.76 = 849.72.
    • Check on the PDF:
      • Confirm whether #5 is a reprint, statement or reminder of #1 rather than a separate bill.
      • Make sure INV-10422 is entered and paid only once.
  • #1 Harbor Office Supply (also check): ambiguous dates.

    • The invoice prints 03/04/2024 and 04/03/2024. I read them as March 4 and April 3, 2024 (US format, Tacoma WA vendor).
    • Check on the PDF: confirm the vendor uses month/day order.

Batch totals

Currency Invoice count Sum of stated totals Sum of computed totals Difference
USD 4 3416.45 3406.45 10.00
CAD 1 567.00 567.00 0.00

Two notes on the USD row:

  • The 10.00 difference comes from invoice #3.
  • The row includes the possible duplicate #5. If #5 is confirmed as a duplicate and removed, USD becomes 3 invoices: stated 2566.73, computed 2556.73, difference 10.00.
